Patient Care Co-Ordinators
Your first point of contact with the surgery is usually through a Patient Care Co-ordinator. We have a large number across both surgeries and there are usually 7 – 8 on duty at peak times (when we are fully staffed). Their main duties are to book appointments, answer queries and help patients wherever they can. All of our Patient Care Co-ordinators are trained in active signposting which means they will ensure patients are seen by the most appropriate clinican / service at the most appropriate time. They will ask a number of questions (following NHS guidance) and will offer advice accordinaly.
In addtion, each Patient Care Co-ordinator has their own area of administrative duties.
Medical Secretaries
Our secretarial team are responsible for the arrangement of all referrals to secondary care on the instruction of the GPs. They type dictated letters, answer queries from GPs and respond to telephone calls from specialists, patients, consultant secretaries, and GPs. They also undertake generic secretarial activities for the practice, such as creating invoices for private services and taking meeting minutes. The team are located at Oldland Surgery.
IT & Data Lead
Our It & Data Lead supports the day to day running of the IT systems used at the practice. They are responsible for maintaining, both the clinical and administrative computer hardware and software, all of the surgery printers, training staff to use the IT systems in place across the entire practice and also ensure that all computer usage adheres to both the NHS and Hanham Health’s information governance policies and procedures.
Administration Team
Our administration team are responsible for handling various administrative duties such as scanning and summarising of paperwork for new and existing patients, allocating and distributing requests and results, reviewing patient care plans and issuing Blood pressure monitors to patients. Within the team we also have prescription clerks whose job it is to produce the large numbers of repeat prescriptions we issue every day. They also liaise with local pharmacies, handle patient hospital discharge summaries and manage any drug changes that the practice undertakes.
